How we protect your data

Our Core Commitments

When you use DataCheckr AI, we commit to:

  • Data ownership: Your data is yours. We will not sell it.
  • Minimum collection: We only collect the information we need to deliver and improve the service.
  • Local-first design: Wherever possible, data is analysed where it already lives, not copied elsewhere.
  • Pattern, not payload: Our products are designed to retain heuristics and patterns – not your raw data values.
  • Security by default: Anything we do control is protected by industry-standard security controls.
  • Plain language: We explain what is happening in terms you do not need a lawyer or engineer to interpret.
How DataCheckr AI Handles Your Data

At a high level, DataCheckr AI does two things:

  • Analyses your data for issues – using built-in checks and learnt heuristics.
  • Learns from your decisions – so it can improve its checks over time.

To do this, we may work with three types of information:

  • Your working data – for example, the contents of a spreadsheet you are checking.
  • Product usage data – for example, which features you use and broad patterns of how you use them.
  • Learned heuristics – patterns about what “valid” data looks like in a given context (for example, “this column usually contains IDs of this shape”).

Our design principle is that:

  • Your working data should remain under your control, in the tools and environments you already use.
  • The learned heuristics are kept separate from that working data and cannot be used to reconstruct it.
DataCheckr AI for Excel – How it Works With your Spreadsheets

DataCheckr AI for Excel follows a local-first approach designed to keep your spreadsheet data under your control.

  • Your data stays in Excel
    The add-in is designed so that checks are performed against the data in your workbook. You work inside Excel as normal.
  • We do not store your cell values
    We do not use your spreadsheet contents to build a marketing profile, sell to third parties, or train unrelated AI models.
  • We retain heuristics, not the data itself
    Over time, DataCheckr AI for Excel learns patterns such as “this column usually contains IDs of this shape” or “these values normally fall within this range”. These heuristics help improve future checks on similar data, but they are not a copy of your underlying dataset.

Security and Technical Measures

We treat security as a core product feature, not an add-on. Key controls include:

  • Encryption in transit and at rest
    Any information under our control – including learned heuristics, service logs and account data – is encrypted when it moves between systems and when it is stored.
  • Access control and least privilege
    Access to systems that handle DataCheckr AI data is restricted to authorised personnel and services, and only where needed to operate or support the product.
  • Separation of concerns
    Where possible, we separate components that interact with your working data from those that manage licensing, telemetry and heuristics. This reduces the impact of any single failure.
  • Monitoring and review
    We monitor our services for unusual or suspicious activity and review our controls as the product evolves.

Privacy, Regulation and Your Rights

In summary:

  • We aim to follow the principles of applicable data protection laws (including UK and EU data protection rules where they apply to us and to you).
  • We limit personal data collection to what is necessary to operate the service, support you and meet our legal obligations.
  • Where we act as a data controller, we respect your rights to access, correct or delete your personal information, within the limits set by law.

Responsible AI

DataCheckr AI uses AI to help you find and understand issues in your data. We apply the following principles:

  • No selling of customer data – we do not sell your data to third parties.
  • No training of unrelated models on your raw data – our goal is to learn patterns that improve your checks, not to harvest your business data.
  • Human in control – for DataCheckr AI for Excel today, all changes to your data are made by you, in Excel. The product highlights potential issues and explains them; it does not modify cells automatically.
  • Continuous improvement with guardrails – as we add more AI-powered features, we will do so with clear explanations and options for you to control how your data is used.

If we introduce new capabilities that change how data is processed, we will update this page and, where appropriate, give you choices.
